1. Who We Are

Operalis ("Operalis," "we," "our," or "us") is a field service management platform operated by Solutions Technology USA LLC, a company organized in the United States. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website, web application, mobile applications (iOS and Android), and related services (collectively, the "Service").

We partner with Stripe to provide simplified billing and subscription management. By using Operalis, you consent to the data practices described in this policy. If you do not agree with this Privacy Policy, please do not access or use the Service.

2. Information We Collect

2.1 Account Information

When you register, we collect your name, email address, company name, role, and account credentials. Authentication is managed through Supabase Auth. We do not store your password in plain text.

2.2 Business Data

To provide the Service, we process the business data you and your team enter, including:

  • Customers, contacts, and service addresses
  • Jobs, work orders, schedules, and timesheets
  • Estimates, invoices, and quotes
  • Teams, employees, and branches
  • Data of employees and collaborators assigned to your company account

2.3 Location and GPS Data

Operalis collects location and GPS data only when an employee voluntarily starts tracking or check-in within the mobile app. This data is used strictly for operational purposes, including:

  • Dispatch and assignment of field teams
  • Proof of service and job site arrival/departure verification
  • Route planning and optimization

Location tracking is not continuous and can be controlled by the employee and account administrators. Employees are informed when tracking is active.

2.4 Device and Usage Information

We automatically collect device type, operating system, IP address, app usage data, logs, and device tokens used to deliver push notifications.

2.5 Payment Information

All card and sensitive financial information is processed directly by Stripe, our payment processor. Operalis does not store your full card number or sensitive payment credentials. We receive limited billing metadata from Stripe (such as subscription status, plan, and the last four digits of your card) to manage your account.

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service
  • Process subscriptions, billing, and payments through Stripe
  • Provide customer support
  • Maintain security and prevent fraud or abuse
  • Send transactional communications (job updates, account alerts, billing notices)
  • Comply with legal obligations

4. Third-Party Processors

We share information with trusted service providers strictly to operate the Service. These include:

  • Stripe — payment processing and Customer Portal
  • Supabase — authentication, database, and storage
  • Mapbox — maps and geocoding
  • Firebase — push notifications
  • Resend — transactional email
  • Sentry — error monitoring and observability

These providers process data on our behalf under contractual confidentiality and security obligations.

5. Data Retention

We retain account and business data for as long as your subscription is active and for a reasonable period after cancellation to comply with legal, accounting, and operational requirements. Location history is retained for a limited period and purged after approximately 90 days, where applicable.

When an account is deleted (see Section 7), personal and business data is permanently removed as described below. After a company account is deleted, we retain only anonymized, aggregate business metrics — such as industry, country, plan, subscription status, and operational counts — that contain no personal information and cannot be used to identify any individual or company. These anonymized metrics are kept for financial reporting and product analytics.

6. Security

We implement reasonable technical and organizational measures to protect your data, including encryption in transit, access controls, and multi-tenant isolation enforced through row-level security (RLS). No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Your Rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or export your personal information. Account owners may request these actions on behalf of their company account. Under the California Consumer Privacy Act (CCPA), you have the right to know about and request deletion of personal information. Operalis does not sell or share your personal information for cross-context behavioral advertising.

7.1 Account Deletion

You can request deletion of your account directly within the Service at any time, from Settings → Delete account, on the web app and on our iOS and Android apps.

  • Company Owners: Deleting your account permanently deletes your company account and all associated business data — including customers, jobs, estimates, invoices, employees, teams, and files — and cancels your subscription. This action is irreversible. We retain only the anonymized, aggregate business metrics described in Section 5.
  • Team Members and Employees: Deleting your account permanently removes or anonymizes your personal information and disables your access to the Service. Business records that belong to the company account (such as jobs you worked on) remain with that company, but are no longer linked to your personal identity.

We may retain limited information after deletion where required to comply with legal, accounting, tax, or fraud-prevention obligations. To request deletion or ask questions about this process, you can also contact us at [email protected].

8. International Transfers

The Service is operated in the United States. If you access the Service from outside the U.S., you understand that your information may be processed and stored in the United States, where data protection laws may differ from those in your jurisdiction.

9. Children's Privacy

The Service is intended for business use and is not directed to individuals under 18 years of age. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page and revise the "Last updated" date. Material changes may also be communicated by email or within the Service.
